6 things I get AI to do in my business every single day (and the kit to set them up)

by Samantha ✦ 10 October 2026 ✦ 10 min read

For years I was the person holding it all together for someone else.

Managing their inbox, their diary, their meeting notes, their follow-ups, and having to remember where every single thing in their business was up to. I've worked in support and operations for twenty years, all the way up to COO, so I know exactly how a business runs. I know which jobs keep it moving, and I know which ones fall through the cracks the minute nobody's holding them.

When I started to combine AI with how I wanted to run my own business, the sky was the limit for me. I started dabbling, bringing it into one job at a time, and now AI does that job for me. Every single day.

So when people ask me what I actually use AI for, they're genuinely blown away when I explain it, because the truth is, 99% of you are using 1% of what AI can actually do.

These are the six things I get AI to do inside my business every day. None of this is me prompting AI to write an email. This is AI taking ownership of the job I spent 20 years doing for other people.

At the end of the post there's one download with four of them in it, ready for your AI COO to install for you.

The six, at a glance

  1. My inbox. Every hour it sorts my inboxes and drafts my replies.
  2. My calendar. My meeting notes become tasks in ClickUp, on the right client.
  3. My content. Every night it turns my day into post ideas, then helps me write the posts.
  4. Work I hand off from my phone. I set a status and my AI COO picks it up.
  5. My business memory. At midnight it writes up my day and updates every client's status page.
  6. My client work. Every client has a workspace my AI COO works in.

1. My inbox

Every hour from 7am to 9pm, it goes through my six inboxes, files each email where I've filed that sender before, and drafts the replies in my voice. I still press send. It never sends as me.

Anything from a real person who's waiting on me stays in the inbox, starred, with the reply already written underneath it. Anything it can't know, like a price or a date, goes in square brackets for me to fill in. Every reply I owe also becomes a task, so nothing gets forgotten because it slid down the inbox.

The full build, labels and voice included, is in how I use Claude to sort my inbox every hour. This one is in the kit.

2. My calendar

It takes the notes from my meetings and turns the actions into tasks in ClickUp, on the right client.

After a call, it works out which client it was with, files one clean note in that client's folder, and puts every task I agreed to into that client's list. Anything the client owes me goes on one "waiting on" task, so I can see at a glance who I'm chasing.

ClickUp is my calendar, so it's also where I manage all my AI tools. It tells me when a task is done and when something needs me. That part comes from my COO and the way my workflow is set up, which is number 4.

The walkthrough is in the routine that turns every client call into tasks. The meeting notes employee is in the kit.

3. My content

Every night, an AI employee goes through everything I did that day, my AI chats and my ClickUp, and comes up with post ideas from it. Then it writes my blog posts from my brain dumps and helps me script my reels. This post included.

The ideas are the part that changed the most for me. I do so many things in a day that I'd want to share, and by the next morning I've forgotten half of them. Now I wake up to a list. Every idea starts from a problem someone watching actually has, and uses what I did that day as the proof. I reply with the numbers I want and they go into my content calendar.

It gives me ideas, never hooks or scripts. I write those from my own brain dump, and that's what keeps them in my voice. The full story is in the routine that turns my day into content ideas. The post idea generator is in the kit.

4. I hand work off from my phone

I write what I want on a task, pick the AI employee and change the status. Within 10 minutes my AI COO has picked it up. It comes back to me done, ready for review.

This is the one that changed my days. I'm not sitting in one chat window having one conversation at a time. I can update tasks from my phone wherever I am, and come back to the work finished at the top of each task.

There's no download for this one, because it isn't an employee. It's the way your task manager and your COO are set up together. I wrote up exactly how mine works in how to build the workflow for your AI employees.

5. My business memory

At midnight, an AI employee writes up my day and updates every client's status page in my AI brain. So I never have to remember where a client is up to.

It reads every chat I had with Claude that day, every task that moved and every file I changed, and writes it all down in the right place: a new entry in each client's daily log, and each status page rewritten so it's true as of tonight. If it can't tell where something belongs, it doesn't guess. It puts it on a list for me.

This is the one the others rely on. My content ideas, my COO and every employee I hand work to the next day all read what this one wrote. The full story is in the AI employee that updates my AI brain every night. It's in the kit.

6. My client work

Drafting a document, planning an event, building a website or an app - whatever I'm doing for a client, I'm doing it with AI. Every client has their own workspace my AI COO works in, so it already knows the project before I ask.

A workspace is just a folder for that client in my AI brain: their status page, their daily logs, their meeting notes and the documents we've made together. When I start a chat about that client, Claude reads the folder first, so I never start from zero.

There's no download for this one either, because it's how you work rather than something that runs. The good news is the kit sets most of it up for you. The business memory employee makes a status page and a daily log folder for every client, and the meeting notes employee files every call into that client's folder. After a week, every client has a workspace that keeps itself up to date.

Before you install any of these: your AI COO

If you want these six to work well, the first step is setting up your AI COO.

Your COO is the one AI employee you talk to most. It knows how your business is organised, it hands out the work, and it's the one that installs and looks after every employee underneath it. Without it, you've got four separate automations. With it, you've got a team that someone is running.

I wrote up exactly how to build yours, with the template I use: The first AI employee I'd build as a non-techie founder: an AI COO.

Once you've got your COO installed, come back here.

The kit: four employees, one download

The kit is one zip with four folders in it, one for each employee: the inbox, the calendar, the content and the business memory. Each folder has the skill (the whole job written down), the routine (when it runs) and a readme for Claude that tells it exactly how to set it up with you. The top of the zip has one more readme, for your COO, that installs all four in the right order.

What you need

  • Your AI COO, set up from the post above.
  • Claude on a paid plan, with the Claude desktop app. Everything here runs from the Code tab.
  • Your AI brain. If you haven't got one yet: The Co-Founder Setup.
  • The tools you already use, connected to Claude: Gmail, your task manager, and wherever your meeting notes are saved. You connect them in Settings, then Connectors, and sign in on their own screen. Your COO checks each one and walks you through anything that's missing.
  • Your computer awake with the Claude app open when they run. A laptop needs to stay open and plugged in overnight.

How to install them

  1. Download the zip and double-click it to unzip it.
  2. Open the Claude desktop app and click the Code tab.
  3. Start a new chat with your COO, the way you normally do, and click the + to attach your AI brain folder.
  4. Drag the unzipped Daily-AI-Employees-by-Incuv8or folder into the chat.
  5. Fill in the blanks and paste this.
Hey Claude, you're my AI COO. I've just downloaded the Daily AI
Employees kit (attached) & I'd like you to install these four
employees for me. Read README FOR CLAUDE.md first, then set them up
with me one at a time, testing each one before the next. Add each one
to my org chart & your list of employees when it works.
Here's what you need to know:
- Which ones I want: [all four / inbox / calendar / content / memory]
- My name: [NAME]
- My Gmail: [EMAIL ADDRESS - start with your busiest]
- My task manager: [ClickUp / Notion / Asana / Trello]
- My meeting notes come from: [Gemini in Google Meet / ClickUp AI
Notetaker / both / "help me pick"]
- My clients or projects are in: [FOLDER, or "find them for me"]
- What I post about & who it's for: [ONE OR TWO LINES]
- Where my content calendar is: [A SHEET, A NOTION PAGE, A LIST - or
  "make me one"]
- My working hours: [e.g. 7am to 9pm]
- My timezone: [e.g. Europe/London]

What you'll see

Your COO reads the readme, checks what you've got connected and tells you what's ready and what's missing. Then it installs the employees one at a time, starting with your business memory, because the other three work better once your AI brain is true.

For each one, it asks you anything you left blank, one question at a time. It runs a test while you watch: the inbox shows you what it would file and the drafts it wrote before it touches a task, and the meeting notes show you the note and the tasks before they're created. Each time it asks your permission to read or write something, choose Always allow, so it never stops and waits when nobody's there. When an employee works, your COO adds it to your org chart, and moves on to the next.

Keys and passwords never go in the chat. Connectors use your normal sign-in.

The catch, and the fix

An employee that runs on a timer can stop and wait for a permission click, and nobody's there at midnight to click it. There's no error. It just doesn't run.

The fix is built into the kit: every employee runs once while you watch, and you choose Always allow for everything it asks. The Claude app remembers those for that task. Then check the next morning that each one did its job. If your status pages haven't changed, open Claude and see what it's waiting for.

The second catch is your laptop. If it's asleep when an employee is due, the run is skipped, and the app runs it once when you next open it. Mine run on a Mac Mini that stays on, because I didn't want my business to depend on me remembering to leave my laptop open.

What this looks like as a business

Every business owner you support is doing these six jobs by hand, or not doing them at all: the inbox, the calendar, the content, chasing what they handed out, remembering where every client is up to, and starting every piece of client work from scratch.

You're not being paid to set up four scheduled tasks. You're being paid for knowing how a business actually runs, which jobs to hand over first, and how to set them up so they keep working when nobody's watching.

Start with one

Don't install all four this week. Start with your business memory, point it at one client, and read that client's status page tomorrow morning. When it's true, add your inbox.

If you haven't got your AI brain set up, that's the foundation for all of this: start here.
